Converting Scheduled Visits to Visit Assessments in Locally Installed Clinical point of Care Software

Agencies and Clinicians using the Clinical Point of Care Software that utilizes the Data Pipe for data synchronization can now convert scheduled visits created in the main office to a Visit (Assessment) in the Clinical Point of Care software.  Agencies will need main Office software version 5962 dated 05/10/16 or later.  Clinical Point of Care software users must have version 2437 dated 05/10/16 or later.  Clinical software users will have available 7 days of scheduled visits that have been created in the Main Office software after downloading the most current data from the main office system.  The Clinician  can access the scheduled visits by selecting the blue colored ‘Schedules’ button found on the right side of the Clinical Patient Listing screen.  Upon opening the Schedules screen, the clinician will select the ‘Calendar’ button found in the top left of the screen.  Scheduled visits will display in date order with the current date at the top of the screen.

To convert a scheduled visit, the clinician will select the scheduled visit by placing the black arrow beside the record or highlighting the record blue that will be converted.  Once the record is identified, the clinician will select the button in the upper right corner of the screen, ‘Convert to Visit’.  The software will open the screen containing the billing information.  It is the same screen the clinician is used to when adding a visit assessment directly into the software.  The clinician can as they usually do, complete  the Time In, Time Out, Supply usage and ‘ADD’ the discipline specific type of note to access the data entry screens for documenting their visit note.

Upon Transmission of the Visit (Assessment ) to the Main Office,  the scheduled visit will be replaced by the Visit (Assessment).

Clinical Point of Care Enhancements for Patient Signatures on Assessments

For those agencies utilizing the Patient Signature Feature in the Clinical Point of Care Software, the ability to capture patient signatures on Assessments is now available with Clinical Software version 2437 dated 5/10/16.  Assessment activities are all documents added through the Assessment option to include, OASIS assessments and Physical Therapy Assessment, Occupational Therapy and Medical Social Worker Assessments and Hospice (CA) assessment.  Upon exiting the Assessment in the Point of Care software, with the assessment record highlighted in the patient activity screen, the ‘Sign’ button can be selected.  A new window will appear.  Select the ‘Patient Sign’ button and the capture screen will display.

Agencies will also need main Office software version 5962 dated 5/10/16 for the patient signature to be included on the print format available int he main system.

Point of Care Clinical Software Enhancements for Wound/Measurement/Dressing History and Patient ADL/IADL, Strength/ROM History for Therapy Assessments

Enhancements are available with Main Office software version 5946 dated 4/4/2016 and Clinical software version 2423 dated 4/6/2016.

Comprehensive visit assessments will provide a read only screen with historical wound assessment and dressing documentation.  The screen is available directly on the Integumentary screen just to the right of the actual data entry fields for wounds.  The skilled nurse entering the patient’s current wound assessment and dressing change will have the history available to evaluate healing and patient progress.  Clinicians wishing to view the wound history must first select the button, “Load Wound History”.  Once loaded, the clinician must select the button with the number for each active wound to see the history.

Comprehensive Physical and Occupational Therapy visit assessments will provide the therapist with a read only screen with historical Strength/ROM found in the Musculoskeletal section  and ADL/IADL documentation.  The new screen is available directly on the data entry screen for upper and lower strength/ROM and the functional assessment screen for ADL/IADL’s.  The Therapist while documenting the patient’s current strength, range of motion and performance of ADL/IADL’s will have the history of measures readily available for comparison and evaluation of patient progress and effectiveness of treatment.

Recording DME for Hospice Patients

Hospice agencies can now record DME provided to patients with Main Office Software Version 5929 dated 03/10/16.  A new section has been added to the Hospice Notes tab that is accessible from with in the Patients database Notes section.  A new grid has been provided to allow recording of DME and Other Notes by date.

Patient Phone Calls

Agencies can now record Patient Phone calls with Main Office Software Version 5929 dated 03/10/16.  A new Tab has been added in the Patient Notes section in the Patient database.Phone calls to patients can be recorded by date in the new grid.

A New 1094-C Employee Listing Is Now Available

Agencies now have the ability to print an Employee 1094-C listing with Main Office Software version 5918, dated 2-25-16.  Upon accessing the ‘W2/1095 Year End’ button in the payroll module, the new 1094-C Employee listing can be selected from the ‘Operation to Perform’ field.  Selecting the Print button will generate the listing.  The 1094-C Employee listing will show the number of employees for each month of the year based upon hire and inactive dates.

HHC 3000 Screen Enhancements

Enhancements have been made to several menu screens in the software to include the Main Menu Screen.  Enhancements will be available with a version update scheduled to be released the week of February 22, 2016.   The enhancements have been made to allow for more efficient access to various modules and ease of access to associated reports.  Some modules will be organized differently.  For example, all reporting will be accessible from one screen which will include creation of OASIS xml and HIS files.  All scheduling module features will be accessible from one screen.  A “hot” button will be provided on the Main Menu screen explaining where certain features will now be available.

Update for W2 State files in CSV format

Available with Main Office Software version 5903 dated 01/25/2016, the software now has the capability to generate state W2 files in CSV format for eTides.  Agencies will find the option to create the W2 file in the Payroll Module/Payroll Reports/W2 .  In the Report Parameters screen, select the option to, ‘Create State W2 Report.CSVReport/file eTides’.
