New Supervisory Co-Electronic Approval Feature

A Supervisory Co-Electronic Approval feature has been added to the software to give agencies the ability to meet certain state requirements or internal policies that require supervising disciplines to apply a co-signature to assistant visit notes.  The ability to attach a Supervisory Co-Approval is available with Main Office Software Version 5759 or later.  Supervisory Co-Approvals can be attached to Comprehensive Visit (Assessments) in the Main Office software only.  Once the Visit (Assessment) to be co-approved is highlighted in an Activity Grid, the View screen must be selected.  In the bottom left corner of the View screen is a label Supervisory Approval.  Select the Lightning Bolt Button sitting next to the label.  The Supervisor can then enter their confidential approval password in the secondary window that will display.  The Supervisory Co-approval will print with the documenting Clinicians electronic approval on the signature line of the printed document.  If the documenting clinician’s approval is removed through edit/opening of the document, the supervisory approval will also be removed and must be reapplied following re-approval by the documenting clinician.  Supervising disciplines will need System Security established for access to the Main office software.  Minimum security  settings must include a security level of 2 entered in Patient Demographics and at least a security level of 1 in Visits/Billing Charges.

New PECOS File Is Available

A new PECOS file has been made available for download.  The previous file that was released by CMS and made available for download  on May 4, 2015 did not contain a complete physician name.  Many names were cut off causing the software to list the physician  name entered in the software as not matching the PECOS File.   CMS released a new file correcting the physician name.  To ensure your agency is utilizing the latest PECOS file, the PECOS File date listed in the software should be recorded as May 6,2015 or later.

The sFTP site is up and running

The issues involving the sFTP site have been resolved.  The issues were a result of a network issue at the host data center for the secure ftp site utilized by server based clinical point of care users.

New screen for Agency Case Managers is now available in the Clinical Point of Care Software

Available with Clinical Point of Care Software version 2313 dated 4/21/15 or later, a new screen has been added to the software for agency Case Managers.  A ‘Resp Emp Docs’ button is now available at the bottom of the initial Patient Listing screen that is displayed upon signing into the Clinical Software.  Once the new button is selected, Employees who are assigned as the Responsible Employee in the patient demographics screen will see a grid screen displaying the last 14 days of Physician Orders, Progress and Communication notes.  The records will be sorted by Patient by default, but may also be sorted by document date.  Agency Case Managers will be able to View the last 14 days of documentation created by other agency personnel for their assigned patients quickly to allow for more efficient management of their assigned patients.

Clinical software versions dated 4/22/15 or later will also include the last 14 days of visit assessments and supervisory visits in the Resp Emp Docs screen.

Errors in the Assignment of an Employee to Assessment documents in the Managed Hosting Environment

Agencies utilizing the Main office and Clinical Point of Care software in the managed hosting environment may see an employee has been assigned to an Assessment created in the Clinical Point of Care software within the last 2 days in error due to a bug in the system.  The issue has been corrected and will no longer occur with the software version agencies will be accessing 4/17/15.

Agency administrators may call Allegheny Software Publishers, Inc. for instructions on changing the Employee name to the correct employee for those assessments that have been assigned an incorrect employee.   Agency administrators must have Full Access system security to the software in order to perform the correction.

New Supervisory Visit Tracking and Responsible Employee Clinical Warnings

Available with current Main Office software version 5726 dated  04/15/15 and Clinical Point of Care software version 2310 dated 04/14/15, new software features have been added to initiate supervisory visit tracking and warnings for responsible employees to better assist agencies in meeting Supervisory Visit requirements.  To initiate tracking, a new check box has been added to each patient Demographics screen in the Current Therapies check box area.  The check box is labeled “Track Supervisory Visits”.  Once selected a secondary window will display.  The agency will need to enter either the date tracking should begin or the date of the last supervisory visit.  The frequency of the Supervisory Visit will then need selected from the programmed options of 14 days or 60 days.  The next Supervisory Visit or due date will populate automatically when keying to the next data entry field.  A small button with a picture of a hand is offered and once selected will import the date of the most current Home Health Aide Care Plan.  The tracking is available for both Comprehensive Visit Assessments and Visits (Billing Record only) based upon use of the check box “Supervisory Visit Performed” found on the visit’s billing information screen.

Clinical Point of Care software users whose name has been entered as the Responsible Employee on the patient Demographics screen will receive an automatic “read only” screen upon signing into the clinical software.  The screen will display Patients who require Supervisory Visits.  The date of the last Supervisory visit, the due date for the next supervisory visit as well as the number of days remaining will also be included on the “read only” screen.

The Control Board in the Main Office software has been updated in the Activity section.  A new Supervisory tab is now available.  Patients who have been marked to track supervisory visits will display.  Columns are available to view the Responsible employee, date of the Last Supervisory visit, date of the next Supervisory Visit and the date of the most current Home Health Aide Care Plan.  Filters are available to modify the display by Responsible Employee or Due date.  The last Supervisory visit and Home Health Aide Care Plan may be viewed and/or printed as need by the Home Health agency administrator or quality review personnel.

Agencies who will require Supervisory Visit tracking for all of their patients can mark all of their patients using a utility named “Mark Supervisory” in the Utilities menu screen.  Employees with Full software access will be able to run this utility.

Pepid Interface Implementation for Server Based Clinical Point of Care Users

Agencies utilizing server based Clinical Point of Care software with the Pepid Drug Interaction interface will need to have all Clinical Software users update the software to Version 2305 or higher dated 4/7/15 or later.  Once the clinical software has been updated, clinical software users will need to perform the “Download latest data from the server and update this computer” task in the Data Transfer and Update Utility screen.  The required files and data will then be available for the clinician to perform the Pepid drug interaction check.

To perform a Pepid drug-drug Interaction check, all medications must be entered into the Patient Medication grid as a Pepid database medication.  Pepid medications must be selected from the Base medication Look up box and will have Pepid notated in parentheses.  Medications not designated or associated with the Pepid medication database will not be included in the drug-drug interaction check.

Server based Clinical Software users must have an internet connection to perform a Pepid drug-drug interaction check.

The patient medication grid will now display a new button, ‘Check Pepid Interactions.  Once selected the software will provide a notification the interaction check is processing.  Once completed the software will provide a view screen displaying any drug-drug interactions with a severity rating.  The Clinician has the opportunity to create a communication note labeld as Medication Interaction Check that will be saved as a historical record in the patient activity screen and printed for submission to the physician.

Additionally, Clinicians may create a Med Sheet activity.  Selection is available from the Add an Activity screen when the green plus button is selected from the patient activity screen.  Medications already entered in the patient Medication grid may be imported into the Med Sheet by selecting the “Load Patient meds” button.  The Check Pepid Interaction button can be found at the bottom right corner to perform the drug-drug interaction check.  The med Sheet will save as a historical document to the patient’s activity screen.

Buttons are also available to View prior results of an interaction check.

Hospice CAHPS Survey

Agencies submitting Hospice CAHPS surveys to Hospice CAHPS survey vendor, Fazzi will need Main office software version 5719 or higher.  Changes have been made to correct file formatting.  Once updated, Hospice CAHPS survey files should be recreated.
