General Ledger – Accounts Payable User

A new security parameter has been added to the employee general ledger security setup. It is called “Specific Type of User Restrictions.” Currently there is only one option, “Account Payable Only User.” There may be others in the future. If selected many of the general ledger features and reports will not be available to the employee, and in the transaction screen only vendor invoices and accounts payable checks will appear.

New PPS Rates

All of the final 2012 PPS rate changes per the November 8, 2011 Federal Register are now available with the current update, 4897, along with the CBSA wage index factors for 2012. We had sent out the proposed changes earlier in October and found that we had made a few mistakes. Diagnosis codes 4011 and 4019 for Hypertension NOS will no longer score clinical points as of January 1, 2012. We mistakenly made the date October 1, 2011. This has been corrected. Secondly, OASIS assessments where the episode ends in 2012 were scoring with the new point structures. It should have only been assessments beginning in 2012. This also has been corrected. We had 3 or4 support calls stating that the state was calculating a different HIPPS code than what our software was calculating which helped us find the reasons for the differences.

The possible clinical and functional points that are used to determine HIPPS codes for the 5 different scoring equations have also changed for 2012. The possible points had not changed since the 5 scoring equations were put into effect. In addition for 2012, the amounts paid for the levels of therapy now fluctuate based upon the clinical and functional scores. In the past the amounts were constants dollar amount based solely on the number of therapy visits. The nature of these changes required considerable more programming effort than in the past few years. Thanks you for your patience.

Ohio Medicaid & Passport ANSI Electronic Billing

If you are receiving the error messages “Missing Secondary CAS Information” for all your patients when you create your Ohio Medicaid or Ohio Passport ANSI electronic billing, you will need to update your software to version 4888 or higher. The file will be rejected by the state. Sorry for any inconvience this may have caused you.

Medical Social Worker Assessment and Visit Note now available

In Build 2060 of the HHC3000 Clinical Software you now have the ability to enter a MSW Assessment and a MSW Visit Note.  The General Therapy Note has also been expanded to include a Reassessment screen (Therapist only).

Please have your clinicians working on computers using the HHC3000 Clinical software update their software to this new version as soon as possible.

Two New Check Boxes on Visits

Two new check boxes have been added to the visits screens. They are “Therapy assessment/reassessment performed” and “Supervisory visit performed.” The therapy check box has been added to give us the ability better to track and report when therapy assessments have been performed. The supervisory visit check box was added in order to know that the visit also included a supervisory visit. Clinical users can include supervisory visit notes along with a visit, but the main system users only know if a supervisory visit was done if they print the assessment.

In the patient activity grid there are two new columns added to display this information. They are abbreviated as TA and SV.

The changes are available in the main office software version 4859. The changes will be made in the clinical software within the next couple of days.

PECOS Update

An update to the Meciare PECOS file as of 8/25/2011 is now available to download. From within Doctors press the “Get PECOS” button. When the import is done then press the “Post” button to update your doctors file.

Clinical Documents

In the clinical system under patients there is a “Doc Log” button. Throughout the system there is also a view most recent button. These buttons are similiar in nature in that they let the user see historical documents for the patient. Although similiar in nature, there were minor differences in the way they worked and responded. Most users were probably not aware of the differences but from the program the differences were causing problems. We standardized the features throughout the clinical program and labeled the button “Document Log”. In addition we added two new dropdown items in the document log section.

The first new item is called “Orders Review”. This feature will display the orders section of the most recent 485 and then list all the physician orders since the 485. The second item shows the goals section of the most recent 485.

These features are available in clinical version 2054.
